Problem:
The client used Go High Level (GHL) for lead tracking and client scheduling. However, they needed a streamlined way to:

  • Have leads schedule appointments via GHL

  • Automatically push those leads into ClickUp for task management and workflow tracking

  • Update the lead status in GHL after internal follow-up and re-enter them into a marketing email sequence

Solution:
Designed and implemented a multi-stage automation using Zapier:

  • When a new appointment was booked in Go High Level, Zapier triggered the creation of a new task in ClickUp

  • Each task entered a custom lead workflow, progressing through qualification, follow-up, and documentation stages

  • Once the task reached a final stage, Zapier sent the updated status back to Go High Level, where:

    • The original contact record was updated

    • The lead was automatically enrolled in a targeted email campaign workflow

Outcome:

  • Automated 100% of lead handoffs between platforms, eliminating manual entry

  • Reduced lead response and processing time by over 50%

  • Ensured leads were never dropped or forgotten in transition
